Answers to common questions about Georgia CPA renewals, filing responsibilities, expiration timelines, and GRITS requirements following the state's transition to a new electronic filing system.
Overview
Georgia transitioned to a new electronic filing system in December 2025. Since that transition, some pharmacies have contacted Outcomes with questions regarding CPA renewal submissions and application requirements.
While Outcomes provides CPA documentation, we do not administer, manage, or have access to the Georgia Board's filing system and cannot view application status or filing information for individual pharmacies.
The information below reflects our current understanding based on customer inquiries and ongoing discussions with our physician sourcing partner, GRITS, and the Georgia Composite Medical Board.
Frequently Asked Questions
Does Outcomes file Georgia CPA renewals on behalf of pharmacies?
No. The pharmacy is responsible for completing and submitting its renewal application through the Georgia Board's electronic filing system. Outcomes supports the CPA process by coordinating physician documentation and providing required protocol materials, but we do not submit applications and do not have access to the Board's filing portal.
Can Outcomes see my filing status or tell me whether my renewal was approved?
No. Outcomes does not have access to the Georgia Board's filing system and cannot view:
- Application status
- Submission dates
- Approval status
- Board feedback or correspondence
Questions regarding your application status should be directed to the appropriate Georgia regulatory agency.
When does my Georgia CPA expire?
Outcomes does not have visibility into your pharmacy's specific Georgia Board filing date, approval date, or expiration date. As a result, we cannot determine when your individual Georgia CPA filing expires. Pharmacies should refer to their filing records or contact the Georgia Board directly regarding the status of a specific filing.
Will I need to renew my Georgia CPA filing?
We do not know for certain whether your pharmacy will need to renew at this time. However, if your previous filing was submitted under the prior one-year process, it is possible that a renewal may be required. Pharmacies should review their filing records and consult the Georgia Board regarding any upcoming renewal requirements.
If Georgia allows a two-year filing period, why am I receiving a new CPA from Outcomes after one year?
Georgia's two-year filing period is relatively unique compared to many other states.
To support our Georgia CPA program, Outcomes partners with a physician sourcing organization. Outcomes' agreements with participating physicians are maintained and renewed annually, independent of Georgia's Board filing cycle. As a result, pharmacies receive updated CPA documentation each year, even if their existing Board filing may remain active for a longer period.
Does receiving a new CPA from Outcomes mean I must immediately submit a new filing with the Georgia Board?
Not necessarily. Outcomes provides updated CPA documentation annually based on physician agreement renewals. Whether a new Board filing is required depends on your specific filing status and applicable Georgia Board requirements. Outcomes does not have visibility into those requirements for individual pharmacies.
Can Outcomes submit the filing for my pharmacy?
No. The Georgia filing process must be completed by the pharmacy. Outcomes provides CPA documentation but does not submit Board applications, manage regulatory filings, or act on behalf of pharmacies within the Georgia filing system.
What should I do if I cannot complete the electronic filing because of the GRITS information requirement?
We recommend contacting the Georgia Composite Medical Board and/or GRITS directly for guidance regarding the information required by the electronic application.
Outcomes has sought clarification from both organizations but has not yet received consistent guidance regarding how pharmacies and physicians should obtain or provide the requested information. Outcomes will continue to seek clarification and work with your physician on this information.
What if my renewal date is approaching and I am unable to complete the electronic filing?
Because questions regarding the GRITS information requirement have created delays for some pharmacies, we encourage pharmacies to begin the renewal process as early as possible and to contact the appropriate Georgia agencies directly regarding filing requirements or deadlines.
Outcomes will continue to share broadly applicable information as it becomes available.
Who is responsible for submitting the renewal application?
Based on our current understanding, the pharmacy is responsible for completing and submitting the application through the electronic filing system.
For questions regarding portal functionality, application requirements, or submission procedures, pharmacies should contact the appropriate Georgia regulatory agency.
Does the physician initiate the application or filing process?
Based on our current understanding, no. The pharmacy completes the application. Outcomes coordinates physician documentation needed to support the CPA renewal process.
Does the physician have any role in the electronic filing process?
Based on information recently shared with Outcomes, the physician may be required to review or complete an attestation within the Georgia filing system after the pharmacy submits its application and associates the physician with the filing.
Outcomes does not have direct access to the Georgia Board's portal and cannot verify the exact workflow for all filing scenarios. Pharmacies should follow the instructions provided within the application and contact the Georgia Composite Medical Board with questions regarding portal requirements.
What is the GRITS requirement?
GRITS (Georgia Registry of Immunization Transactions and Services) has long been referenced within the Georgia protocol requirements. However, under the previous paper-based process, pharmacies were not typically required to provide GRITS-related information as part of the filing itself.
Under the new electronic filing process, pharmacies are reporting that a GRITS value is required during application submission. This requirement has become one of the most common questions we are receiving from customers.
What is a physician's GRITS number?
At this time, we do not have definitive guidance. Based on information shared with us, a traditional "GRITS number" may not exist in the way many users expect. We have been advised that the identifier may instead be associated with a GRITS account, username, or facility-level registration. We continue to seek clarification regarding exactly what information is expected by the application.
Can Outcomes help obtain the GRITS information needed for my renewal?
Yes, to the extent possible. Outcomes works with our physician sourcing partner and participating physicians to obtain information that may be needed for CPA renewals. However, Outcomes does not administer GRITS, does not have direct access to the GRITS system, and cannot independently retrieve GRITS account information.
Obtaining the requested information has proven challenging in some cases, and we have not yet received consistent guidance regarding what information satisfies the electronic filing requirement. We are continuing to follow up with physicians, GRITS representatives, and the Georgia Composite Medical Board as we seek additional clarity.
Why might my updated CPA not include a GRITS Number?
Some pharmacies have noticed that the Georgia electronic filing system requests GRITS-related information that may not be included within the CPA documentation provided by Outcomes. Based on discussions with physicians and state agencies, there appears to be uncertainty regarding the specific identifier or information being requested and how it should be obtained.
Outcomes is actively seeking clarification on this requirement and will share additional information with pharmacies as it becomes available.
Why is obtaining GRITS information taking time?
Based on feedback received from physicians and other stakeholders, the requested information is not always readily available and may require additional investigation to locate.
We have encountered situations where there is uncertainty regarding what information should be provided, how it should be obtained, and whether the identifier is associated with an individual physician or another type of GRITS account. As a result, obtaining the information may take longer than anticipated.
Has Outcomes received guidance from GRITS or the Georgia Composite Medical Board?
We have contacted both organizations seeking clarification. To date, we have not received sufficiently clear or consistent guidance that would allow us to provide additional recommendations beyond the information shared in this FAQ. Should we receive further clarification that may be broadly helpful, we will update this article.
Is Outcomes changing or discontinuing the Georgia CPA program?
No. Outcomes continues to support Georgia pharmacies through its CPA program and is renewing physician agreements as part of the annual renewal process. The challenges discussed in this communication relate to the electronic filing process and not to the availability of the Outcomes CPA program.
Can Outcomes advise me on how to complete the Georgia application?
