Patient Tagging and Filtering
What is patient tagging?
Patient tagging enables team members to attach labeled identifiers (“tags”) to individual patients. Tags are flexible, pharmacy‑wide, and can support a wide range of use cases such as workflow management, prioritization, and staff assignment.
Tags are visible to everyone in your pharmacy and remain attached to a patient as long as they return under the same patient ID.
What is a Tag?
A tag is a short, free‑text label (up to 50 characters) that users can apply to a patient to support organization, segmentation, and workflow management across the center. Tags help teams identify, categorize, or prioritize patients based on custom criteria relevant to their daily operations.
Key properties of a tag:
-
Short, free‑text label
Tags can contain any text up to 50 characters, allowing for flexible naming conventions. -
Color coding
Tags include a color to improve visibility and meaning at a glance. -
Shared center‑level library
Once created, tags are stored in a shared library and become available for all users within the same center—supporting consistent use and standardized workflows. -
Optional expiration date
A tag can include a patient‑specific expiration date when the designation only applies for a limited time (e.g., Needs Callback Today, New Patient, Pause Outreach Until Next Tuesday).
How to Create a Tag
You can create a tag from two locations:
Option 1: From the Opportunity Queue
-
Locate the patient in the queue.
-
Click the three‑dot menu (ellipsis) in the row.
-
Select Tag Patient.
-
Enter the tag text and assign a color (optional).
-
Choose an expiration date if needed.
Option 2: From the Patient Profile
-
Open the patient’s profile.
-
Click the three‑dot menu in the patient header.
-
Select Tag Patient.
-
Add the tag details and save.
How Tags Can Be Used
Patient tags can support a variety of workflow needs, including:
-
Prioritizing patient outreach
-
Assigning patients to specific staff members
-
Organizing work queues with custom categories
-
Filtering dashboards to quickly locate specific patient groups
Example tag themes:
-
High Priority
-
Needs Follow‑Up
-
CMR Prepped
-
Assigned to Maria
-
New Patient
Filtering by Tags
The Dashboard supports powerful tag‑based filtering:
-
Filter for a tag
-
Filter against a tag
-
AND logic applies when selecting multiple tags (results must contain all selected tags)
This makes it easy to narrow to precisely the patients you need—or exclude groups that don’t apply.
Best Practices
To help your pharmacy get the most out of patient tagging, consider sharing these guidelines with your team:
-
Keep tags simple and broadly understandable. Avoid overly niche or confusing tag names.
-
Reuse existing tags when possible to maintain consistency.
-
Assign staff‑specific tags to help distribute patient workload.
-
Apply color coding purposely so important tags stand out.
-
Use tag filtering daily to manage priorities and streamline queue navigation.
Tag Memory & Expiration Rules
-
You may set an expiration date for tags intended to be temporary.
-
Tags are case‑insensitive (e.g., High Priority and high priority are treated as the same tag).
-
Tags are tied to the patient’s ID, so as long as a returning patient uses the same ID, their tags will automatically reappear.
