How can I upgrade my plan?

Upgrading from the free tier to the practice tier is simple. If you are an administrator user you should see a link called “Upgrade” under your user settings in the top right when you’re logged in to the dashboard. Once you’ve gone through the upgrade steps, we’ll transition your organization over to the practice plan seamlessly and the additional features will be unlocked and patient limits removed. If you want to upgrade to the Enterprise plan get in touch and we’ll be delighted to discuss your requirements.

How are you able to offer a free tier of service?

Our mission has always been to make outcome measurement accessible and easy for practices big and small. We know that adopting any technology in a healthcare environment is hard and by having a free tier of service we’re hoping to break down barriers to adoption and help you get started.

There is no time limit and no strings attached to the free plan – you’re welcome to continue using it for as long as you like. Our business works by delivering value to your practice to the point where you want to grow your outcomes measurement program and switch to a paid tier of service with us – we hope you’ll join us on the journey!

Is the platform HIPAA compliant?

As a company that under most use cases will handle Protected Health Information (PHI) for the healthcare provider organizations we work with, we are required to comply with the Health Insurance Portability & Accountability Act (HIPAA) for our US based customers.

This means from a logistical point of view that we have to comply with the security and privacy provisions of HIPAA that include strong encryption and rigorous access controls. You can read more about our approach on our Security & Privacy page. Our customer Terms of Service also include a Business Associate Agreement as required by HIPAA that delineate responsibilities.

Can I export my data?

You can export your data at any time in a user friendly CSV format that can be fed in to any statistical analysis package. This also means that should you ever wish to leave, you can do so easily and take your data with you.

What happens when my subscription expires?

If you are in a paid tier and your subscription expires due to non-payment we continue your service but prevent any new patients being added to your organization until subsequent payment is made. Existing scheduled patient notifications will go out as planned and you will continue to be able to access your patient data. If payment is not made after 3 months despite reasonable attempts to contact administrative users at your organization, your organization accounts will be frozen and your data will be held for a maximum of 2 years from the last payment.

What outcome measures does the platform support?

The platform supports a wide range of patient-reported outcome, experience and satisfaction measures across many different specialties. The list of measures can be viewed on the Resources page and we’re adding to it all the time – if you have a specific request, don’t hesitate to get in touch.

We have focused primarily on license-fee free measures however if you need to use a measure that requires a paid license, get in touch and we will explore whether we can accommodate you, providing you pay the required fees.

What happens after I sign up?

After signing up for a practice plan, we’ll work on creating your organization’s new account and get in contact with you to help you get up and running and collect payment details. For our new measure plan, you’ll be added to the waitlist for new customers and be added and receive email notification as soon as possible.

What are the while labeling options?

White labeling comes as standard! We want to help you enhance your relationship with your patients. Our platform can be highly customized to your practice, including your practice logo at the top of any communications sent to patients and customized messaging for all patient notifications.

What happens when I hit the 100 patients limit on the free plan?

When you hit 100 patients you’ll see a message displayed on your dashboard to notify you that you’ve hit the limit. You will be unable to register new patients until you upgrade to a paid plan, however the platform will function as normal for the patients you already have registered and you can continue to issue them surveys and content. If you want to upgrade to continue to add patients to your organization, click on the link to upgrade and follow the steps. If you have any issues, don’t hesitate to get in touch.

Are there any set up fees?

There are absolutely no set up fees and you can be up and running in minutes once your account is approved! Additionally there are no set up fees to upgrade from a free plan to a paid plan, only the monthly subscription.

Do patients need to download any apps?

There is no need for patients to download apps. The patient facing aspect to our platform (for serving notifications, delivering surveys & content) is done entirely through email, text-message and our patient facing website (that is optimized for both desktop and mobile).

This was an intentional decision we took as it’s a real barrier for patients to have to download and use a separate native application for their phones. It creates logistical issues, and problems across different types of devices. We have found that almost everyone has an email address, a mobile phone number and a device capable of rendering webpages.

Is there a minimum contract period?

There is no minimum contract period and no set up fees. If you’re on a paid plan, you’ll pay each month and if you decide to end your service we’ll stop charging fees at your next monthly billing cycle.

Can I use the platform outside of the US?

Our current product was designed around use in the US, however we recognize that outcome measurement is a global issue and customers around the world are likely to want to use our product.

What does implementation look like?

It really depends on the scope and scale of your program, but we’ve purposely designed our product to make implementation swift and easy. If you’re an individual clinician starting small with your first few patients the chances are you can get going straight away. If you’re a larger practice you might want to train your staff on how to use the platform, the goals of your program so they can communicate it to patients and even create your own educational materials to hand to patients in the clinic.
